This role's primary functions are to complete the interview process with CNA's, complete the CNA schedule, supervise, mentor, educate CNA's, provide floor coverage during scheduling challenges, and is part of the Manager on Duty Rotation with other department heads (occasional 12pm-8pm weekday shifts and occasional 9:30am - 6pm weekend shifts).
CNA certification required.
Experience in entry level Healthcare Management preferred.
JOB SUMMARY
- The Scheduling Coordinator has a primary responsibility for overseeing the coordination of CNA staffing schedules. This responsibility includes timely collaboration with the facility clinical leadership along with nurses and CNAs to ensure that available shifts have been filled to the greatest extent possible. The Scheduling Coordinator is responsible for monitoring the effectiveness and efficiency of staffing. The Scheduling Coordinator is responsible for assisting with and communicating the status day to day nursing operational tasks to the DON.
- Job Duties:
- Completes all staffing schedules, monthly, weekly, and daily.
- Meet with DON/ADON and review staffing goals and needs. Reviews the monthly schedule and weekly openings.
- Communicates with facility nurses and CNAs to secure scheduling commitments. Takes calls regarding schedule changes (tardiness, call offs, etc.) and adjusts to ensure coverage.
- Updates the facility DON/ADON as shifts are filled.
- Ensures that staffing schedule, along with vacancies are posted
- Checks vacancies posted daily to determine and identify any vacant shifts that have been requested
- Works with the Facility Administration as needed to review other staffing options, (EG: Activity Aides who are CNAs)
- Collaborates with Facility Administration and the DON/ADON daily regarding the oversight of CIT duties.
- Collaborates with the Business Office Manager regarding recruitment opportunities.
- Attends nursing related job fairs for the purpose of recruitment and hiring
- Does preliminary interviews with applying CNA, Wound Care Tech, Resident Safety Tech, CITs, and Restorative Aide candidates when necessary.
- Monitors POC compliance and communicates individual concerns to the DON/ADON
- Maintains a weekly record of shifts that have been filled.
- Participates in staffing meetings to communicate needs and plans.
- Files and Stores staffing assignment sheets daily with real time adjustments entered
- Works closely with union representatives when applicable to eliminate conflicts and/or grievances against the facility.
- Provides education, training and completes competencies on CNAs, and CITs
- Collaborates with DON/ADON, Administrator and Business Office Manager on staff retention and employee engagement initiatives.
- Serves as Manager on Duty on weekends, evenings and/or holidays as scheduled (cross trained in admissions department).
- Ensures rooms are ready for new admissions.
- Greets new admissions timely and completes all neccessary admission paperwork as needed.
- Completes Room Rounds and Patient Advocate duties.
- Works closely with restorative and wound departments to ensure staff compliance according to the needs of the residents and all assigned programs are carried out and performed, including adequate documentation.
- Supervises and provdes mentorship to CNAs on the unit.
- Completes education and counseling as needed to CNAs.
- Completes observations and compentencies daily of CNAs.
- Provides CNA coverage for open shifts on the floor to ensure minimum staffing requirements are met.
QUALIFICATIONS:
- Must be a Certified Nursing Assistant with at least one year of current experience working in long term care, unless already serving in the role. All hires after 1/2022 must be CNAs.

- Responsibilities:
- Accepts and supports the DON/ADON and Administrator philosophy in the provision of care.
- Assess, Plan, develop, organize, implement, evaluate, the facility staffing needs.
- Assure that all procedures are followed in accordance with established staffing processes and policies.
- Directly collaborates with clinical leadership and assists with providing staff education, training, and competencies.
- Identify problems, develop, and implement solutions with the assistance of the DON/ADON and Administrator
- Assists with other non-clinical duties/tasks as assigned for the overall operations of the facility.
PHYSICAL REQUIREMENTS:
- Must be able to move intermittently throughout the workday.
- Must be able to cope with the mental and emotional stress of the position.
- Must possess sight/ hearing senses or use prosthetics that will enable these senses to function adequately so that the requirements of this position can be fully met.
- Must be in good general health and demonstrate emotional stability.
- Must be able to relate well and work with the ill, disabled, elderly, emotionally upset and at times hostile people within the facility.
- Must be able to stand and ambulate for long periods of time.
- Must be able to push, pull and lift 25 pounds for 25 feet.
