PURPOSE
Under close supervision of nursing leadership, supports provider practice by assisting with direct patient care duties. This includes assisting with in-office surgical procedures, scheduling surgeries and diagnostic testing, maintaining supply inventory levels, and cleaning and maintaining medical equipment. Carries out all duties while maintaining compliance and confidentiality and promoting the mission and philosophy of the organization.
ESSENTIAL FUNCTIONS
- Assists providers with in-office surgical procedures, patient preparation, and post-op requirements.
- Conducts proper sterilization and cleaning of surgical equipment.
- Coordinates with physician and clinical team to schedule patient surgeries at local surgery centers and hospitals, pre op, and post op appointments.
- Rooms patients, takes and documents vital signs and prepares patients for provider exam.
- Schedules radiological procedures and clinical visits as directed.
- Coordinates necessary surgical devices/implants with vendor representatives.
- Coordinates surgical assistant coverage when applicable.
- Meets and/or communicates with patient prior to surgery to go over pre surgical instructions, consents, surgical estimates, insurance authorization information, and answer any questions.
- Completes surgery checklist with appropriate information and knowledge of each physician’s schedule and surgery guidelines.
- Ensures all pre-op orders are created and faxed to the facility along with H&P, patient insurance, and demographic information.
- Facilitates surgery cancellations, time changes, date changes, and changes with orders, and communicate to all parties involved.
- Updates EPIC and Outlook calendars with any changes or additions to the physician’s schedule.
- Codes surgery orders prior to sending them to the facility.
- Obtains insurance benefits and authorization requirements for procedures (set up peer to peer reviews in the event authorizations are denied).
- Request estimates from financial counselor, anesthesia, and facility for patients cost of surgery.
- Initiates charity process with hospital or surgery center for uninsured patients when applicable.
- Reviews patient history and medications to insure accuracy in EPIC and verify medical and or specialist clearance prior to surgery.
- Makes outgoing calls in a timely manner to patients that need to schedule a procedure, and check voicemails frequently to return patient calls.
- Assists other surgery schedulers as needed.
- Calls patients and informs of normal lab results.
- Calls pharmacy to fill or refill prescriptions as prescribed by and under the direction of the physician.
- Follows directions given by nursing team leader or supervisor.
- Provides patients with educational materials as directed.
- Completes all necessary paperwork.
- Maintains lab holding to manage incoming surgical reports, pathology, and other diagnostic testing results.
- Ensures diagnostic testing results are given to physicians promptly.
- Maintains equipment (autoclaves, sterilizes, checks expiration dates, etc.) and autoclaves and stores equipment and supplies after exam.
- Monitors inventory of medical and/or office supplies and equipment, ensuring units and/or rooms are properly stocked and supplies are current and within expiration dates. Orders supplies as needed.
- Adheres to all company policies, including but not limited to, OSHA, HIPAA, compliance and Code of Conduct.
- Regular and dependable attendance.

- Works holiday shift(s) as required by Company policy.
OTHER DUTIES AND RESPONSIBILITIES
- May post patient test results.
- Performs other duties within the scope of unlicensed personnel as assigned.
- Cleans patient rooms as needed, including proper handling of dirty laundry.
- Ensures laundry cart is stocked with fresh linens on a daily basis.

QUALIFICATIONS
Education and Experience
Required: High school diploma or GED. Three (3) or more years of experience working in a medical office, hospital, or ambulatory surgical setting as a surgical technologist or as a Medical Assistant.
Preferred: Knowledge of CPT/ICD-10 coding. Completion of operating room course or hospital conducted on-the-job training in operating room techniques. Graduate from accredited Medical Assistant Program or military Medical Assistant program.
Certificate/License
- Medical Assistant certification preferred. Current AHA approved Basic Life Support (BLS) Healthcare Provider Cardiopulmonary Resuscitation (CPR) course completion card.
