The Lead, Care Promoter is required to perform all duties of the Medical Assistant and also functions as the resource person to the non-licensed staff. The incumbent in this role acts as a liaison between management and staff. He/She possesses a variety of clinical and administrative skills which include: providing appropriate patient instructions per physician orders, maintaining appointment schedules receptionist, registration duties, medical history data collection, etc., to ensure smooth center operations. The Lead, Care Promoter assists in some practices with patient care providing first level counseling to staff. This is a healthcare and leadership-focused position working directly with patients and their families, doctors and other medical personnel in a dynamic and professional environment to provide the highest level of quality healthcare to all patients.
ESSENTIAL JOB DUTIES/RESPONSIBILITIES:
- Leads Care Promoters and other clinical staff, ensuring the completeness and accuracy of all tasks.
- Monitors team performance, identifies any issues and provides Center leaders with feedback. Manages and monitors team member work schedules
- Provides appropriate medical assistant care to patients following established standards and practices. Prepares exam rooms for patients ensuring all necessary medical tools and equipment are present and functional.
- Assists physicians and clinicians in the ambulatory setting.
- Liaises with medical and leadership staff to identify efficiencies in the facility’s operations.
- Keeps management apprised of early personnel issues.
- Assembles patient medical records prior to provider receiving the record.
- Disassemble patient medical record after patient visit and inputs and post patients charges into system.
- Addresses/resolves any customer-service issues.
- Ensures proper flow of patients/doctors from check-in area to patient exam rooms.
- Facilitates processes and procedures related to screening of walk-in patients
- Ensures proper handling, documentation and transmission of phone calls and telephone messages.
- Ensures accuracy of medications provided to patients. Inspects pharmacy log and inventory.
- Ensures accurate indexing of all paperwork.
- Leads, monitors and handles deliveries and invoices for medical products.
- Monitors waiting time report.
- Checks over patient schedules for transportation pickup.
- Discharges patients in accordance with physicians’ orders.
- Inspects crash cart on a weekly basis.
- Coordinates sending out of lab specimens.
- Acquires reports from hospitals and urgent care centers for incoming patients

- Performs other duties as assigned and modified at manager’s discretion.
KNOWLEDGE, SKILLS & ABILITIES:
- Knowledge of ChenMed Medical products, services, standards, policies and procedures
- Knowledge and understanding of all applicable laws and regulations and ChenMed’s philosophy, policies, procedures, and standards
- Superior knowledge and skill in standard medical assistant intake procedures, including but not limited to: taking patient vitals and obtaining and documenting blood and other specimen samples for laboratory work
- Superior leadership, clinical, conflict resolution, communication and problem solving skills
- Excellent verbal communication skills
- Good organizational and prioritization skills. Ability to remain calm in stressful situations
- Ability and willingness to provide extraordinary customer service in all patient, customer and family member interactions.
- Ability to operate successfully in a fast-paced, ever-changing environment
- Astute ability to maintain professional conduct and confidentiality in the care of patients
- Ability to effectively communicate and work with doctors, patients and others in a professional and courteous manner
- Ability to pay close attention to detail and to ensure accuracy of reports and data
- Keen ability to manage multiple processes and effectively lead a team of Care Promoters and other clinical staff
- Proficient in Microsoft Office Suite products including Word, Excel, PowerPoint and Outlook, database, and presentation software
- Ability and willingness to travel locally, regionally and nationwide up to 20% of the time
- Spoken and written fluency in English required, bilingual a plus
EDUCATION AND EXPERIENCE CRITERIA:
- High school diploma or GED equivalent required
- Graduation from a nationally accredited Medical Assistant program and MA certification from a nationally recognized association required
- A minimum of 5 years Medical Assistant work experience in hospital or clinic setting required
- BLS for Healthcare Providers required
- EMR system experience is preferred
- Experience working with geriatric patients is a plus
