Position Summary: The Supply Coordinator oversees a range of supply and equipment management duties, including ordering, inventory control, expense tracking, budget reporting, invoice payments, and vendor management. Their primary objective is to strike a balance between meeting the organization's supply needs, particularly those crucial for patient care, while managing costs effectively to ensure financial sustainability.

Schedule: Full Time, Monday-Friday, 9am-5pm

Location: We have positions open in the following office locations; Oakland, CA and Fairfield, CA

Essential Duties and Responsibilities:

Implement company medical supply purchasing policies and procedures, facilitating effective company operations and promoting best practices.
Place orders for branches and field clinicians to sustain efficient company functioning and ensuring no disruption to patient care needs

Urgent clinician supply team orders
Cardinal Health patient orders
Monitor supply team KPIs to ensure efficiency and waste management
Develop and maintain a medical ordering system through various sources and vendors in alignment with Healthflex policies.
Regularly review workflow processes and recommend changes for maximum efficiency.
Establish an active process for measuring supply inventory and determining purchasing needs based on quarterly and annual figures.
Stays apprised of supply expiration dates ensuring expired items do not get into circulation and adjusts ordering to remove waste.
Maintain appropriate inventory levels, monitor utilization, and escalate overutilization concerns to nursing leadership.
Utilize clinical judgment to assess wound care appropriateness.
Process monthly trunk bin supplies orders accurately and promptly, ensuring continuity of patient care.
Train and support staff involved in the ordering process.
Ensure seamless flow of supply-related information and communication for efficiency and timeliness.
Create and maintain supply and equipment inventory logs for each site.
Review invoices for accuracy, dispute discrepancies, and facilitate timely payment.
Compare product deliveries with issued purchase orders and resolve discrepancies with vendors.
Process returns and ensure accurate account credits.
Act as the point person for each site, conduct regular inventory checks, and visit other sites as required.
Coordinate closely with internal couriers for deliveries.
Establish and maintain positive working relationships with internal staff and vendors.
Generate and report on budget and expenses monthly, quarterly, and annually.
Collaborate with and escalate to clinical leadership or supervisor as necessary.
Communicate with clinical staff regarding requests as needed.
Stay abreast of industry trends.
Prioritize tasks effectively to ensure needs are met.

Requirements

Active CA Licensed Vocational Nurse (LVN) licensure strongly preferred
One year of direct experience in purchasing and inventory management of medical supplies and/or equipment required
Strong computer skills with ability to maintain spreadsheets, produce reports and navigate purchasing systems such as Medline

Compensation: With a LVN license $45.00/hr - $55.00/hr. Without a LVN license $25.00/hr - $30.00/hr. Compensation is determined by the following factors; experience, knowledge, skills, location, as well as internal equity and alignment with market data.
